Overview

Bush Digital Guides helps small businesses with websites, local visibility, enquiry capture, follow-up systems, AI voice/missed-call assistants, automations, and practical digital safety.

We aim to handle personal information in line with Australian privacy expectations and applicable legal obligations.

Information we may collect

We may collect:

  • name, business name, role, phone, email, address, and service area
  • website, domain, hosting, email, Google Business Profile, analytics, and public business details
  • enquiry details, project messages, support requests, and approval records
  • supplied photos, logos, reviews, testimonials, customer lists, and business materials
  • access notes such as platform, access level, account owner, who granted access, and revocation plan
  • website form submissions, booking requests, CRM records, spreadsheet data, and analytics data where in scope
  • call recordings, transcripts, chat logs, SMS/email summaries, assistant logs, routing notes, and quality-check notes where assistant services are used
  • billing records, invoice status, and payment status, but not card details unless handled by a payment provider
  • technical data such as IP addresses, device/browser details, cookies, traffic sources, page views, and error logs where website tools collect them

Sensitive information

Clients and customers should not send passwords, card details, bank details, one-time codes, identity documents, medical details, private customer lists, legal/compliance matters, or other sensitive information through ordinary forms, email, chat, SMS, or assistant systems unless specifically requested through an appropriate secure process.

If sensitive information is accidentally supplied, we may delete, minimise, or restrict it where practical.

How we use information

We use information to:

  • respond to enquiries
  • prepare audits, proposals, drafts, websites, reports, and recommendations
  • deliver approved services
  • manage client projects, access, approvals, and handovers
  • configure contact forms, websites, Google tools, email, CRM, assistants, phone/SMS workflows, and notifications
  • operate, test, improve, and monitor approved assistants and automations
  • provide support, quality checks, troubleshooting, and safety checks
  • manage billing, records, disputes, legal obligations, and security
  • improve BDG services and internal processes

AI and automation tools

We may use AI or automation tools to help draft, summarise, research, audit, test, classify, route, or operate approved systems.

We aim to collect only what is reasonably needed and avoid sending unnecessary sensitive information to AI tools.

AI outputs may be wrong and should be reviewed before important decisions, public claims, legal/compliance statements, prices, bookings, customer promises, or high-value matters.

Call recordings, transcripts, and messages

If voice, SMS, chat, or assistant services are used, calls or messages may be recorded, transcribed, summarised, categorised, routed, stored, or used to trigger approved follow-up workflows.

These records may contain personal information. They may be used for enquiry handling, follow-up, quality checks, support, dispute handling, reporting, and service delivery.

Access is limited to authorised people and providers involved in the service.

Clients are responsible for telling their customers where required by law or platform rules.

Sharing information

We may share information with trusted providers needed to deliver services, such as:

  • website hosting, CMS, domain, DNS, and email providers
  • Google Workspace, Google Business Profile, analytics, search, maps, and advertising tools
  • form, booking, CRM, spreadsheet, database, and automation tools
  • phone, SMS, call-routing, call-recording, transcription, and AI voice assistant tools
  • AI, drafting, summarisation, research, monitoring, and workflow tools
  • payment, accounting, and invoicing providers
  • contractors, developers, designers, or specialist partners helping deliver the work
  • legal, security, government, or dispute bodies where required

We do not sell personal information.

Overseas providers

Some third-party services may store or process data outside Australia.

We choose practical providers for small-business delivery, but cannot control every third-party hosting location, subprocessors, or policy change.

Security

We use reasonable steps to protect information, including least-privilege access, private drafts, approval gates, restricted access, and avoiding raw credential storage in ordinary notes.

No online system can be guaranteed fully secure.

Clients should use MFA where available, keep recovery details current, remove old staff/agency access, and tell us promptly about suspected compromise or unauthorised access.

Retention

We keep information only as long as reasonably needed for service delivery, support, reporting, records, legal/accounting obligations, dispute handling, safety, or authorised ongoing operations.

Different records may have different retention periods, such as:

  • business/project records kept while needed for service and record-keeping
  • analytics retained according to tool settings
  • call recordings/transcripts kept only as long as needed for the agreed service unless otherwise required
  • billing records kept for legal/accounting requirements

Clients may ask us to delete or return project information where practical and lawful.

Access, correction, and complaints

People may ask to access or correct personal information we hold about them.

We may need to verify identity before acting.

Clients remain responsible for their own privacy notices, customer permissions, call-recording notices, industry obligations, and legal compliance for their business.
